Larger crews unlock economies of scale. Smaller crews can sometimes cost more per person simply because setup and travel costs are spread over fewer plates.
Shoot days matter beyond simple multiplication. A long-running production allows a caterer to plan efficiently, negotiate better with suppliers and allocate a dedicated team. A one-day shoot carries the same setup cost but spread over a single service, which is typically reflected in pricing.
Location access is often underestimated. A catering vehicle cannot always park directly outside your set. Restricted access roads, permit requirements and long distances from the catering unit to the crew all add complexity and cost. Remote or difficult-to-access locations may require hotbox delivery rather than a full kitchen vehicle, which affects both pricing and service style.
Service type also shapes the quote. A full mobile kitchen cooking fresh on site is a different proposition to hotbox catering, where food is prepared off-site and transported hot. Both have their place. Full kitchen setups are more expensive to mobilise but provide greater flexibility. Hotbox is lighter, faster to set up and better suited to locations where parking or space is constrained.
Menu requirements add or reduce cost depending on complexity. A standard rotation of fresh meals costs less to produce than bespoke menus with high-end ingredients.
